PAB Meeting and Event Spaces

 

Conference Room Use Policy: The Physics and Astrophysics Building has many rooms that are available for community use and are reserved on a first-come, first-served basis. Calendars for each room are visible to Administrators and Staff who are given shared access. For events ending after 5:00pm, please lock the doors to the lobby. Failure to leave rooms in their clean, original condition will result in revocation of reservation privileges.

Reserving Conference/Meeting Space: If you would like to request a meeting/event space, please submit a Reservation Request Form. If you would like to modify or cancel an existing reservation, please submit a request to hepl-rooms@lists.stanford.eduPlease allow 1 business day for a response.

Building Access

If your event will take place during normal business hours (7AM – 5PM) no special access is needed. Please informs us if your group or caterers/vendors need additional time for setup and clean up and adjust your reservation request as needed. Please make sure there is someone available from your group at all times during your reservation as you are responsible for the safekeeping of the room and its contents. HEPL Administrative staff are available for system troubleshooting and general inquiries during normal business hours as stated above.

For after hours events, Building Management will adjust exterior doors to remain opened during your event. Doors will automatically lock at your reservation end time. 

Work Orders

All requests for meeting/event space must include a PTA for cleaning costs unless otherwise informed. This PTA will not be charged unless the room is left unclean.  When placing your booking request, please include “buffer” time in your reservation for setup/cleanup time. We suggest a one hour buffer when food will be served. A work order must be placed for events with food/beverage that are 4-hours or more.

Please add Karina Larios (karlar19@stanford.edu) as an FYI on your work order and include the following requests:

  • Wipe down tables
  • Empty trash and recycling bins
  • Clean/vacuum floors

Note: Please also wipe all whiteboards clean after use.

Room Configuration
